Privacy Policy
GARAGEBIRDS is a trade name of Magic Beans Ventures, Inc. (“we”, “us”). This policy covers our website (garagebirds.com), the GARAGEBIRDS application (app.garagebirds.com) and the GARAGEBIRDS Posting Assistant browser extension for Google Chrome. We store and process data in the United States.
1. Information We Collect
When you use GARAGEBIRDS, we collect information you provide directly, such as your name, email address, dealership details, and any data you enter into the platform (vehicle inventory and photos, costs, leads, deals, documents and contacts).
Information about your customers. To prepare deals and documents and to follow up on enquiries, your dealership enters information about its own customers and prospects: names, phone numbers, email addresses and home and mailing addresses; for deals, driver’s license numbers; and, on Pro, leads (such as the vehicle wanted, budget and notes of conversations), quotes, contact notes and follow-up dates. Deal documents stored in GARAGEBIRDS contain whatever those documents contain. We hold this information on your dealership’s behalf and use it only to provide GARAGEBIRDS to your dealership. Your dealership decides what is entered, is responsible for having the right to collect it, and answers its customers’ requests about it; we help it do so. We do not use this information for our own purposes, and we do not sell or share it. If you are a customer of a dealership that uses GARAGEBIRDS, please contact that dealership first.
Quotes. On Pro, your dealership can email a customer a quote from GARAGEBIRDS. We send it in your dealership’s name to the customer’s email address on file, with the quote attached as a PDF that names the customer by first name only. We keep that PDF with the quote, and a record of each email: who sent it, when, and to which address.
If you contact us through the form on our website, or send feedback from within the application, we receive the name, email address and message you submit, and any file you attach to feedback. We use them only to reply to you and to improve the product. If you report a problem with a form link, or with the information on a dealer-license page, on our state paperwork pages, we receive the part of the page it concerns, the reason and any details you give, and your email address only if you choose to add it; we use them only to fix the page and, if you asked, to reply.
Website analytics. On garagebirds.com we measure visits with PostHog, set up so that it stores nothing on your device: no cookies and no browser storage. Each page view records the page (and, on our articles, which article it is), the website that linked to it, any campaign tags in the link, and your browser, operating system, language, time zone and screen size. To count unique visitors without an identifier, PostHog combines your IP address and browser details with a value that changes every day and is then deleted, so a visit cannot be linked to you or to your visits on other days; your IP address itself is not stored. When you click “Start free”, we note the page you were on and where on the page the link was (for example, the navigation or an article), and pass the campaign tags and the name of the website that referred you to the application in the sign-up link, so we know how a new dealership found us. If your browser sends a Global Privacy Control or Do Not Track signal, none of this is collected. The contact form and its confirmation pages run no analytics.
Product analytics. In the GARAGEBIRDS application and the GARAGEBIRDS Posting Assistant browser extension we record how dealerships use them — for example that a vehicle was added or a deal completed, that documents were printed, which screens are opened and which main buttons are used, when a Pro feature is offered, and when a trial or subscription starts — so we can improve the product. These records are linked to your dealership’s account identifier, your user identifier and role, your plan and your dealership’s state, and include your browser, operating system, language, time zone and screen size. They do not include names, email addresses, vehicle details, prices, anything you type, or any information about your customers, and the address of each page is reduced to the name of the screen before it is sent. When a dealership signs up, we record how it found us: the campaign tags, referring website and page passed in the sign-up link, or, if you reached the sign-up page straight from another website, that website’s name (its domain, not the address of the page). The application and the extension load PostHog’s analytics code to do this; it stores nothing on your device.
Posting Assistant. When you use the Posting Assistant to list a vehicle on Facebook Marketplace, Craigslist, OfferUp, eBay Motors, Cars.com, AutoTrader or another site you choose, it autofills that site’s listing form, in your browser and only on the page you have open, with the vehicle’s details, asking price and your dealership’s public city, state and ZIP code from the vehicle record, and attaches the photos you choose. To do that it reads the listing form’s fields on that page, only on a site you have allowed it to use and only while you are on it; nothing it reads from the page is sent to us. If a page cannot be autofilled, the assistant shows the same details for you to copy into the form yourself and can download the photos to your computer for you to attach; for Amazon Autos, which has no listing form, it shows the details only. What goes into a marketplace’s or site’s listing form — whether the assistant fills it in or you do — and the photos attached there are transferred to that marketplace or site at your direction, and may reach it before anything is published; its terms and privacy policy apply to them. The assistant never includes your costs, your customers or your deals, and it never publishes, edits or removes a listing: you publish it yourself. We keep a record of each listing: who prepared it and when, which marketplace it is for (or the site’s address, for a site you name), what was handed over, and the outcome and listing link you report.
2. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve the GARAGEBIRDS platform
- Authenticate your identity and manage your account
- Bill paid plans
- Look up sales-tax rates and decode VINs for the deals and vehicles you enter (section 4)
- Send transactional communications (e.g., password resets, invitations)
- Email the quotes your dealership sends to its customers (section 1)
- Respond to support requests
- Understand how the website and the platform are used, so we can improve them (section 1)
3. Data Separation
GARAGEBIRDS is a multi-tenant platform. Every record belongs to one dealership, and every request is checked against the signed-in user’s dealership, so employees of one dealership cannot access another dealership’s data.
4. Third-Party Services
We use Amazon Web Services (AWS) for hosting, file storage and message delivery, and Resend to deliver the email the application sends — account verification, invitations, password resets, the quotes your dealership emails to its customers (section 1), and other system-generated mail. For a quote, Resend receives the customer’s email address and first name, the quote’s PDF, and the names, email addresses and phone numbers of the staff the customer can reply to or call. Sign-in runs on FusionAuth software that we operate on our own AWS servers. These providers process data on our behalf under contractual obligations to protect your information. We do not use these services, or any other third party, for our own marketing email or advertising.
Payments. Paid plans are billed by Stripe (Stripe, Inc.). We give Stripe your dealership’s name and the email address of the administrator who subscribes, to which Stripe sends receipts. Card and other payment details are entered directly with Stripe; we never receive or store them. The checkout page in the application loads Stripe’s code from Stripe, which may set cookies that Stripe uses to prevent fraud. Stripe’s own privacy policy applies to the information it collects.
Tax rates and VIN decoding. To suggest the sales-tax rate for a deal with a California buyer, we send the buyer’s street address, city and ZIP code — no name or other details — to the California Department of Tax and Fee Administration’s public tax-rate service. To decode a vehicle identification number, we send the VIN alone to the U.S. National Highway Traffic Safety Administration’s public vPIC service.
For the website and product analytics described in section 1 we use PostHog (PostHog, Inc., data hosted in the United States), which processes that data on our behalf. Your browser sends it to vozyk.garagebirds.com, an address on our domain that PostHog operates for us, so PostHog receives your IP address with each request; we have set PostHog not to store it.
Facebook and other marketplaces. Facebook (Meta Platforms, Inc.) receives what goes into its Marketplace listing form — filled in by the Posting Assistant or by you — and the photos attached there (section 1). Any other marketplace or site you post a vehicle to, such as Craigslist, OfferUp, eBay Motors, Cars.com, AutoTrader or Amazon Autos, likewise receives what goes into its listing form — filled in by the Posting Assistant or by you — and the photos attached there. None of them process data on our behalf; their own terms and privacy policies apply.
Messages sent through the website contact form, a paperwork-page problem report, or in-application feedback pass through Amazon Web Services (a message queue) and are delivered by Amazon Simple Email Service. The contact form uses no security check from any third party, so nothing about your visit is shared with anyone else when you use it.
5. Cookies and Website Data
Our public website (garagebirds.com) does not use cookies, browser storage or advertising trackers. Its fonts, scripts and images come from our own domain — its analytics script from vozyk.garagebirds.com (section 4). Its analytics — the cookieless PostHog measurement described in section 1 — stores nothing on your device. Like most websites, our hosting provider (AWS) processes standard technical information, such as your IP address, browser type and the pages you request, to deliver the site and keep it secure.
The GARAGEBIRDS application (app.garagebirds.com) uses cookies and browser storage that are strictly necessary to keep you signed in and to remember your preferences, such as light or dark mode. We do not use them for advertising or to track you across other websites. Its product analytics (section 1) store nothing on your device. Its checkout page loads Stripe’s code, which may set Stripe’s fraud-prevention cookies (section 4).
The Posting Assistant keeps your sign-in in the browser’s storage for extensions, for up to 14 days, so you stay signed in; signing out removes it. For the current browser session it also remembers which vehicle you asked it to open.
6. Data Retention
We retain your data for as long as your account is active or as needed to provide services. You may request deletion of your account and associated data by contacting us, except for the deal documents described below.
Deal documents stored in GARAGEBIRDS are kept in write-once storage for seven years from when they are stored, so that they can serve as your dealership’s records. They are not deleted before that period ends, even if the account is closed.
Prospects — contacts with no deal and no recent activity — are kept for as long as your dealership chooses: 6, 12, 24 (the default), 36 or 60 months, never longer, except that a prospect who was given a quote is kept until the quote is two years old. They are then anonymized (names, contact details, addresses and notes are erased) or deleted, as your dealership has set, and an administrator can erase a prospect at any time. Customers who bought a vehicle stay with the dealership’s deal records.
Quotes (section 1), with their PDFs and the record of each email, are kept for at least two years while your account is open. When a prospect is anonymized or deleted, the email address is removed from those records; the quote and its PDF, which name the customer by first name only, are kept.
Posting records (section 1) are kept with the vehicle’s record and deleted with it, or with your account.
Analytics records (section 1) are kept for up to two years and then deleted.
A message sent through the contact form, a problem report or in-application feedback waits briefly in a delivery queue: up to 2 days, or up to 14 days if delivery repeatedly fails. It then exists as an email in our mailbox, which we keep for as long as needed to reply and follow up. You may ask us to delete it. A file attached to feedback is deleted from our storage after 14 days.
7. Your Rights and Choices
You can see and correct most of your dealership’s information directly in GARAGEBIRDS. To ask for a copy of your personal information, or to have it corrected or deleted, email privacy@garagebirds.com. We respond within 45 days and may first need to confirm that the request comes from you. Deal documents and quotes are kept as section 6 describes.
We do not sell or share personal information, as California law defines those terms, and we do not use it for targeted advertising. We use sensitive personal information, such as driver’s license numbers, only to provide GARAGEBIRDS. If you are a California resident, you have the right to know what personal information we collect and how we use and disclose it, to have it deleted or corrected, and not to be discriminated against for using these rights; you may also make a request through an authorized agent. Our website honors Global Privacy Control and Do Not Track signals (section 1).
8. Security
We encrypt data in transit (HTTPS) and at rest — the database and file storage, with deal documents under a dedicated key — and limit access to the people and systems that need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach affects your information, we will notify you as the law requires.
9. Children
GARAGEBIRDS is a service for businesses and is not directed to children under 16. We do not knowingly collect personal information from them.
10. Changes to This Policy
When we change this policy, we update the date at the top of this page. If a change materially affects how we handle information we already hold, we will tell account administrators by email before it takes effect.
